PPT作为一个展示方案的工具，最大的优势是它本身展示的特点：适用各种场合（5-500人）、演示性强效率高、提纲挈领结构清晰、重点突出主次分明……
二、PPT的要素
PPT 的要素分为图像、声音、动作、人的解说、文字等几个要素，其中以图像和文字是PPT最为重要元素，在展示PPT的同时，人的思维里所有信息是连接到图像和文字上的，人的解说也是跟着PPT走的，其他包括声音和动作等也是为了展示需要进行的多功能辅助。下面就PPT的几个功能进行分类描述，给大家工作中作为参考：
[图像]
图像是ppt区别于Excel和Word及其他办公软件的主要特点，所以PPT要突出这个特点，并利用多种手法把图像的展示性发挥到极致，其他所有手段都要为了图像这个元素服务。
图像元素包括：图片、图表、线条组合、文字模块、色彩等所有能形成图像的其他元素的组合。
要求：
1、色彩不能相差太大：整个PPT看下来，图片要统一的感觉，色彩不要相差太大，除非要强调两者的对比性，一个模块和一个PPT里面都是这些要求；插入文本分两种色块，一般为灰色填充25%，标题为灰色填充50%或75%.外框根据需要而定，可有可无。在一个PPT里，所有信息的框架要和模板保持一定空白，不能100%占有所有空间，当然空白太多视觉效果也不佳，有种欠缺之感，一般来说，所有信息占有空间应是模板的80%-95%.
2、图片组合风格统一：图片的组合要显示主体还是辅助文字，确定好以后，对图片大小和布局进行整理，每个PPT要分清主次，多个图片之间的逻辑结构要有规律，如果之间是平行关系的话，之间的占有空间的比例为2：1：1或1：1：2或4：2：1：1，图像组合应该是一个完整的长方形或正方形；
注意：说明性辅助图片宜小不宜大，展示主画面要占PPT的三分之一强；图片之间要留大约1mm缝隙，具体情况根据图片的组合而定；图片信息，不宜用太多的线条指示，每个图片圈数不要超过3个，线条不要超过3条，1条为宜。
3、图表展示要清晰：一个PPT中，最好只有一个图表，因为图表的特点就是使复杂的问题简单化，所以要求图表一定要用简单的元素概述复杂的问题。如果问题太多，一个图表放不下，就用两张PPT分别表示，其余空白用文字填充。
在图表展示中，涉及到文字问题，文字在图表中个人认为应该看做展示性的图像，要符合视觉的需要和整体的格局分布，一般标题用20号字体黑体，正文小标用18号宋体，正文部分可以用14号或12号宋体（其他小字用12号或9号）。其他字体如华文细黑、微软雅黑、楷体可作为辅助字体用，如小行说明文字，为了区别正文可以用楷体。
图表中的数字，能用阿拉伯数字的不用汉字。一般情况下，标题要求左右垂直都居中，而其他数据要求左对齐或右对齐。图表框的要求一般要比里面线条粗一般为1.5磅或2.5磅，里面用0.75磅值的线条，为了图表和图像的搭配，可以把图表框设成有色框或复线框。
4、线条组合要美观：线条组合相当于绘画，所用线条要自然形成某种形状，最常见的有专业的咨询工具模型就是用线条组合形成的图形。它是借助现有实物或思维特征进行的组合来阐述要表达的信息。
线条要求有特殊含义、简洁，能和文字图片有效结合，利于展示。
在线条组合中值得介绍的是作为图表作画的专业软件VISIO，注意空间的布局和各种图形代表的含义。
5、文字要突出关键字：文字在PPT里是作为辅助元素出现的，上面已经有所提及。除此之外，文字不宜过多，最多不能超过8行，一般占据的空间为左上角大约四分之一大小作为图片的说明；如果是要图片说明文字，则要求图片在左边或右边约三分之一大小的空间，中间及另一边约三分之二空间放置文字。
文字在排版中，注意原有格式的应用。如果没有要求原有格式，那么在进行排版时，要注意标题栏中的“项目符号和编号”中选取合适的格式进行排版。
一般情况下，最好用word排版好的粘贴到PPT中，行间距、对齐等格式要求能很好地表现。
[声音]
声音包括背景声音一直延续发声、插入即时声音辅助要求中间插入一段，背景声音要小不能超过解说人的声音，而插入即时声音要求大，稍微超过解说人声音。如果为他人做PPT展示，要提前测定声音的大小，如果自己解说，要先试调。
[动作]
动作，一般在PPT演示中要求不能太眩，“从中间到左右”或者“由右向左”“展开”等，慎用飞入、旋转等大动作，以免使观众把过多精力放在这里，动作也是辅助手段，要经过长期积累去感悟各种效果以至形成自己的风格。
[人的解说]
人的解说，是建立在充分了解PPT所要展示的信息基础上，因此，PPT所要展示的信息应该是人解说需要遵循的一个梗概和思路，只是起到提示作用，而不应该是主要作用。解说的最高境界应该是提前计时后，PPT的展示和解说融合为一体，演示者不需对PPT进行暂停，解说完毕时，PPT停止。
在解说中，要注意在能用图示看清楚说明问题的，一带而过，用图示说明。图示说明不了，用适当的解说仍不能表达清楚的，说明图示有问题。
个人认为PPT一定要简洁，每页的PPT字数一定要少，因为PPT是配合我们讲解的辅助工具。然后PPT背景图，尽量不要花哨，字的颜色一定要与背景色形成鲜明对比，否则在投影上会看不清的。再要多利用设置动画那一块。
